How we share, retain and protect your data

Data sharing

We may process information relating to our user relationships, including user contact information (“user relationship data“). The user relationship data may include your name, your contact details and other information contained in communications between us and you or your employer, if applicable.

The source of the user relationship data is you. The user relationship data may be processed for the purposes of managing our relationships, communicating with you, keeping records of those communications and promoting our blog and any related products and services to users. The legal basis for this processing is consent.

This means, that as our relationship develops, we may record information pertaining to our relationship in the form of private notes and tags about your interests. This data can be used to give trend analysis (e.g. how many people are requesting “X” and then we may use this data to prioritise the website’s content creation).

Data retention

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognise and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register (such as guest writers) or fill in a form on the website, we also store the personal information they provide in their user profiles or CRM.

All users can request to view, edit, or delete their personal information at any time. Website administrators can also see and edit that information.

We may charge an administration fee for editing your personal data (refer to Chapter 12: APP section 12.78). As well, a 30 day turnaround time to verify and retrieve information, may be required.

Your rights

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

We may charge an administration fee for providing the exported file and erasing your personal data. A fee may also be charged for the cost of postage or other materials that provide access to the information, as well as costs associated with using an intermediary service (refer to Chapter 12: APP section 12.78). As well, a 30 day turnaround time to verify and retrieve information, may be required.

Where we send your data

Visitor comments may be checked through an automated spam detection service. We currently use Akismet (owned by Automatic) for spam detection. You can read the Akismet privacy policy here: https://akismet.com/privacy/.

How to opt-out of data collection

To opt-out of Google Analytics, you should disable, block or refuse the cookie, disable JavaScript, or use Google’s opt-out tool.

You can also use private browsing or use a VPN and similar methods to opt-out of other data collection.

Finally, you can also refrain from posting comments, filling out and submitting forms and surveys, downloading resources, or engaging with the website in any manner.

How we protect your data

We use applications to optimise the security of this website. It includes a two-factor authentication process for all registered users and it tracks users, ip addresses and visited pages.

We do not store any sensitive financial or personal information on this website.

What data breach procedures we have in place

When we become aware of a data breach our priority is to:

  1. Secure the website and data. U-Foria’s process includes locking down the website from all other users. This gives us time to assess the impact of the security breach and be confident that the security breach is fixed.
  2. Notify users. Where possible we will notify registered users via email. We may also post a notice on this website with a link to the notice on social media services.
  3. Notify relevant authorities and third-party services about the data breach. In Australia, the NDB scheme requires any organization that trades in personal information to notify the Australian Information Commissioner of any breach of “personal information that is likely to result in serious harm to any individual affected.” (Office of the Australian Information Commissioner.) You can read more here: https://www.oaic.gov.au/privacy-law/privacy-act/notifiable-data-breaches-scheme.
